This role will support the General Counsel and Chief Legal Officer.
Position Summary
The Executive Assistant, Office of Firm Counsel, provides high-level administrative and operational support to the Chief Legal Officer and serves as the central point of contact for internal clients on matters related to the Office of Firm Counsel. This role requires a highly organized professional capable of managing a high volume of documents, communications, and time-sensitive priorities in a fast-paced legal environment. The Executive Assistant will manage complex calendars, coordinate travel and meetings, maintain filing systems, and assist with tracking and managing matter workloads. The candidate should also be flexible to work overtime as needed.
Key Responsibilities
- Answers, screens, and prioritizes incoming calls, responding to and routing inquiries within the General Counsel's office, exercising sound judgment to assess urgency and sensitivity of matters
- Monitors a high volume of incoming emails, organizing, triaging, and responding as directed by the General Counsel
- Provides general document production and word processing, opens and distributes mail, and manages correspondence related to internal firm legal matters, including privileged communications
- Serves as the primary point of contact for internal firm departments and external parties on all matters pertaining to the General Counsel
- Reconciles complex expenses and processes reimbursements, including coordinating vendor invoices as needed with other members of the General Counsel's office
- Manages a complex and demanding calendar, conducting frequent reviews with the General Counsel to coordinate travel, meetings, and required materials, updating deadlines and adjusting as priorities shift
- Coordinates, compiles, organizes, and prepares materials for internal meetings and presentations
- Arranges meetings and schedules conference calls across multiple time zones with internal stakeholders and outside parties
- Drafts, proofreads, and revises correspondence, internal legal documents, policies, agreements, and other materials as directed
- Maintains and updates comprehensive contact information, notifying relevant staff of any changes
- Assists in tracking and managing matter workload, maintaining matter lists and other tracking tools to support the Chief Legal Officer and attorney team in managing deadlines
- Maintains organized electronic and physical filing systems for all matters managed by the General Counsel's office, including contracts, litigation files, compliance documentation, and privileged attorney-client communications
- Works collaboratively with other departments and firm administrative teams to successfully complete projects and initiatives
- Provides backup support to other litigation attorneys as needed, including coverage for other Legal Support Specialists in their absences

Education & Prior Experience
- Bachelor's Degree or equivalent experience preferred
- Minimum of 10 years of experience in a professional environment, preferably in a large law firm setting supporting top-level executives
Technology
- Proficiency with Windows-based software and Microsoft Word, Excel, and Outlook required
- Exceptional computer skills with the ability to learn new software applications quickly

The expected pay range for this position is:
$53.54 to 58.97 per hour
Actual pay will be adjusted based on experience, location, and other job-related factors permitted by law. Full time employees may be eligible for a discretionary bonus, health insurance with an optional HSA, short term disability, long term disability, dental insurance, vision care, life insurance, Healthcare and Dependent Care Flexible Spending Accounts, 401K, vacation, sick time, and an employee assistance program.
